This Privacy Policy describes how Check Medical Bill (“we,” “us,” or “our”), operated in connection with checkmedicalbill.com, collects, uses, and shares information when you use our website and bill-review tools (the “Service”).

1. Who we are

Check Medical Bill provides consumer-facing tools to help users upload medical billing documents and receive automated, educational analysis. We are not a healthcare provider, health plan, or business associate under HIPAA for purposes of treating uploaded documents as protected health information in a clinical context—however, the information you upload may contain sensitive personal and health-related data. Please upload only what you are comfortable storing with us.

2. Information we collect

Account information: Email address and password (stored as a salted password hash, not plain text).

Case and billing information: Case titles, provider names, dollar amounts you enter, uploaded files (bills, EOBs), extracted text from those files, and analysis results (findings, scores, timestamps).

Technical information: Session identifiers, browser type, IP address, and server logs used for security, abuse prevention, and troubleshooting.

We do not intentionally collect payment card data through the Service at this time. If we add paid features later, payment processing will be handled by a third-party processor subject to its own privacy terms.

3. How we use information

  • Provide, maintain, and improve the Service
  • Authenticate you and secure your account
  • Run automated billing checks on documents you upload
  • Display your case history in your dashboard
  • Respond to support requests and legal obligations
  • Detect fraud, abuse, and security incidents

We do not sell your personal information. We do not use uploaded bills for advertising profiling.

4. Legal bases (where applicable)

If you are in a jurisdiction that requires a legal basis for processing, we rely on: (a) performance of our contract with you to provide the Service; (b) your consent where required (for example, optional communications); and (c) legitimate interests in securing and improving the Service, balanced against your rights.

5. How we share information

We may share information only in these situations:

  • Service providers: Hosting, email, or infrastructure vendors who process data on our instructions and under confidentiality obligations.
  • Legal requirements: When required by law, subpoena, or to protect rights, safety, or security.
  • Business transfers: In connection with a merger, acquisition, or asset sale, with notice where required by law.

We do not share your uploaded billing documents with other users or the public.

6. Data retention

We retain account and case data while your account is active and for a reasonable period afterward to comply with law, resolve disputes, and enforce our Terms. You may request deletion of your account by contacting us at privacy@checkmedicalbill.com. Backups may persist for a limited time after deletion.

7. Security

We use industry-standard measures including HTTPS (when enabled on your deployment), hashed passwords, access controls, and session protections. No method of transmission or storage is 100% secure; you use the Service at your own risk and should use a strong, unique password.

8. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. To exercise these rights, email privacy@checkmedicalbill.com. We may verify your request before acting on it.

California residents may have additional rights under the CCPA/CPRA. We do not sell personal information as defined by California law.

9. Children

The Service is not directed to children under 13 (or 16 where applicable). We do not knowingly collect information from children. Contact us if you believe a child has provided data.

10. International users

The Service is intended for users in the United States. If you access the Service from other countries, you consent to processing in the U.S. and other locations where our providers operate.

11. Cookies and sessions

We use essential session cookies to keep you signed in and protect forms. We do not use third-party advertising cookies on the core Service.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version with a new effective date. Continued use after changes means you accept the updated policy.
